microdot, registered with the Dutch Chamber of Commerce under number 34233479 and based at Valkenstein 18-III, 1082 BN Amsterdam, is responsible for the personal information described in this statement. Privacy questions may be sent to info@micro-dot.net.
Information microdot processes
Depending on how you contact or work with microdot, this may include your name, organisation, email address, telephone number, the content of correspondence, proposal and agreement information, service and support records, and details required for invoicing and administration.
The contact form prepares an email in your own email application. Information entered there is not submitted to or stored by the website itself. Once you send the email, it is received and stored in microdot’s Microsoft 365 mailbox.
Why information is used
Personal information is used to answer enquiries, prepare proposals, enter into and perform agreements, provide and support services, maintain client relationships, invoice and administer the business, comply with legal obligations, and protect the security and continuity of microdot’s systems and services.
These activities are based, as applicable, on steps taken at your request before entering into an agreement, performance of an agreement, compliance with legal obligations, and microdot’s legitimate interests in operating and protecting its business and maintaining professional relationships.
Website operation
The website does not use analytics, advertising trackers or non-essential cookies. TransIP, as hosting provider, automatically processes limited connection information in server logs, including the IP address, browser version and time of a visit. TransIP uses these logs to resolve faults and to detect and address threats to its network. microdot does not use this information to profile visitors or for marketing.
Service providers and other recipients
Personal information is not sold. Where necessary, it may be processed by TransIP for website hosting, Microsoft for email and Microsoft 365 services, and Moneybird for invoicing and bookkeeping. Relevant information may also be shared with professional advisers, technical suppliers or public authorities where this is necessary to provide an agreed service, protect legal rights or comply with the law.
Some providers may process information outside the European Economic Area. Where this occurs, microdot relies on the safeguards provided by applicable data-protection law, such as an adequacy decision or approved contractual clauses.
How long information is kept
Enquiry correspondence is kept while it remains relevant to the enquiry or a possible business relationship. Information relating to clients and services is kept for the duration of the relationship and afterwards where reasonably necessary for support, accountability or handling legal claims. Financial and core administrative records are normally retained for seven years to meet Dutch tax obligations. Hosting logs and backups follow the provider’s operational and security retention periods.
Security and automated decisions
microdot takes appropriate technical and organisational measures to protect personal information. Personal information is not used for automated decision-making or profiling, and contact details are not added to a marketing list merely because you make an enquiry.
Your rights
You may ask to access, correct or delete your personal information, restrict or object to certain processing, or request transfer where applicable. These rights can be subject to legal limits, including information microdot is required to retain. Requests can be sent to info@micro-dot.net. microdot may ask for information needed to verify your identity.
You may also submit a complaint to the Dutch Data Protection Authority.
